Managing your members + families

How members and families relate, how to add minors, and how to use tags and filters to organize the roster.

Members vs families

Kyndra keeps two records apart: the person who takes class, and the family that pays. For an adult who pays for themselves, the person and the family are effectively the same. For a kid in classes, the family is the parent or guardian — they receive invoices, hold the card on file, and get the portal account.

This split matters because:

  • A family can have several people in it (siblings).
  • A person can move between families (custody changes, an adult kid setting up their own account).
  • Billing always rolls up to the family.

A person's household shows at the top of their profile.

Adding a member

On Members (Students or Clients at some studios), choose Add member (Add student or Add client at some studios). It needs a full name and an email or phone, so the studio has a way to reach them. For a child, switch to Family signup at the top of the same page: the family name and the parent's email or phone go in once, then one row per child.

Tags

Tags are short labels you control: "ballet level 3", "summer-only", "performance team", "comp scholarship". To tag people, tick them on the roster and choose Add tag in the bar that appears (on a phone, the tag icon). A person's tags show on the Overview tab of their profile, and Ask Kyndra can find everyone with a given tag.

Status

You set each person to Active, Trial, or Inactive. The Status filter on the roster narrows the list to one of those, and the bar that appears when you tick people can change it for all of them at once.

The roster's status column reads more than that setting, and shows the first of these that applies:

  • Inactive — you set them inactive.
  • Past due — they owe money, and the amount follows.
  • Trial — you set them to trial.
  • New — added in the last 24 hours, with no visit yet.
  • Lapsed — no visit in 45 days, or none since joining over 45 days ago.
  • At risk — their last visit was 21 or more days ago.
  • 2 classes left (or fewer) — a class pack is nearly used up.
  • Active — none of the above.

The profile

Click anyone on the roster to open their profile. It has five tabs: Overview, Attendance, Payments, Documents, and Notes.

Searching the roster

The search box matches names, emails, and phone numbers. Status and Discipline narrow the list, and Sort orders it. The roster loads a page at a time; the button at the bottom loads the next one.

The waiver flow

If you add a waiver under Settings → Documents & waivers, members accept it before their first booking. To chase someone who has not, open their profile, go to Documents, and choose Send signing link.
