Charging members + handling refunds
How invoices, recurring tuition, and class packs charge through Stripe — and what happens when you refund.
Three ways to charge
- Tuition — a fixed fee on a schedule. On Billing, open the ⋯ menu, choose Tuition plans, then Add plan. Then open the member, go to Payments, pick the plan under Tuition plan and choose Assign. Kyndra raises the invoice each cycle, and Generate invoices raises any that are due now.
- Memberships — a plan members buy from the portal that renews until they cancel. On Billing, open the ⋯ menu, choose Prices, then New price → Monthly plan.
- Packs — pre-paid bundles ("10 classes for $200") that draw down as members attend. Choose New price → Class pack. When someone pays for a pack at the desk, open the ⋯ menu on Billing and choose Record pack sale.
Kyndra has no blank invoice for a one-off fee. A drop-in is charged at the class's Drop-in price when someone books it.
How a charge actually flows
Every charge is made on your connected Stripe account, not on Kyndra's platform. Money lands in your Stripe balance, and Kyndra's platform fee comes out at the moment of the charge.
When Kyndra raises an invoice for a family with a saved card, it charges that card straight away. Without a saved card, the member pays the invoice in the portal by card, Apple Pay or Google Pay. For an open invoice, open it on Billing and choose Charge saved card in its menu to charge the saved card on the spot.
If a card is declined, Kyndra emails the family and lists the invoice under Failed charges on Recovery, in the ⋯ menu on Billing. Kyndra retries a decline after 1 day, then 3, then 7, and then stops. Each row offers Retry charge or Ask to update card, depending on why the charge failed. A card that needs 3-D Secure is never retried automatically.
Refunds — the important details
To refund a paid invoice, open it on Billing and choose Refund. Three things happen at the Stripe level:
- The refund is issued on your connected account, not Kyndra's platform.
- Kyndra's platform fee is reversed — you don't pay platform fees on money you didn't keep.
- Stripe's processing fee on the original charge is not refunded. That is Stripe's policy, not Kyndra's.
Partial refunds work the same way: the platform fee scales proportionally.
When a member disputes a charge with their bank, Stripe takes a dispute fee from your balance. Once your studio can take cards, Disputes in the ⋯ menu on Billing lists each one with its reason and deadline. Kyndra sends evidence automatically where it can. Fraud, duplicate and credit-not-processed claims are yours to answer: choose Open Stripe dashboard.
Overdue invoices
Kyndra emails the family a reminder three days before an invoice is due, and marks it Overdue the day after. To chase one, open it and choose Send reminder. To chase them all, open the ⋯ menu on Billing and choose Send reminders, then confirm how many go out. If you want the agent to chase them personally, see the agent article.
Bank transfers (ACH)
Kyndra does not take ACH or other bank payments online. Members pay by card, or by Apple Pay or Google Pay where their device offers it, and the payment methods a member saves in the portal are cards. When a family pays you by bank transfer outside Kyndra, choose Record payment on the invoice and pick Bank transfer under How it arrived. The balance clears and the history stays on the invoice.
